Assign a Compliance Position to Personnel

This is the role the personnel will be expected to complete. The assigned compliance position and its requirements are derived from the matrix.

Positions are useful for internal competency management, the requirements are not shared with personnel.

1. Log in to MyPass and click Personnel.

2. Click the All My Personnel dropdown.

3. Select the appropriate Resource pool.

4. You can assign compliance positions individually or in bulk. Let's start with individually.

Click Personnel name.

5. On the personnel's profile, click Assign to view position options.

6. Click the Skills Matrix dropdown. If you only have one matrix associated to the pool this step is skipped.

7. Select the Skills Matrix that will be used.

8. Select the position that will be assigned to the personnel.
Personnel can be assigned more than one position.

9. Click Save.

10. Another way to assign compliance positions individually is to hover over the personnel name from the selected resource pool or from the All My Personnel and click on the ellipsis icon.

11. Click Assign Compliance Positions.

12. Click the Skills Matrix dropdown. If you only have one matrix associated to the pool this step is skipped.

13. Select the Skills Matrix that will be used.

14. Select the position that will be assigned to the personnel.
Personnel can be assigned more than one position.

15. Click Save.

16. The level of compliance can been seen against the matrix from the percentage figure.
All workers need to have a position assigned and be 100% compliant.

17. The position requirements can be checked by clicking on the percentage next to the role/position if the position has been assigned. Click on the % to get more details on what the requirements are.

18. Green Tick: Document uploaded and verified.
Red Cross: Document not uploaded/ Expired/ Rejected/ Not verified.
Red Tick: Document uploaded and verified but validity period set in the matrix has lapsed.

19. To bulk assign, select the preferred personnel to assign for the role.

20. Tick the boxes next to the personnel's name.

21. Click More.

22. Click Assign Compliance Positions.

23. Click the Skills Matrix dropdown. If you only have one matrix associated to the pool this step is skipped.

24. Select the Skills Matrix that will be used.

25. Click Next.

26. Select the position that will be assigned to the personnel.
Personnel can be assigned more than one position.

27. Click Save.

28. The position has been added.

29. To un-assign position, click Assign.

30. Click the appropriate matrix.

31. Untick the position that needs to be un-assigned.

33. That's it. You've now assigned and un-assigned a compliance position.
