Create a Skills Matrix

Before you create a skills matrix in MyPass, we recommend creating a spreadsheet to outline your positions and their corresponding requirements. For each requirement, determine what degree of compliance is required for both recruitment and full compliance. Working from your spreadsheet will also make it easier to work systematically and keep track of which ones are done.

1. Log in to MyPass and click Skills Matrices.

2. Click on the + icon.

3. Click the Name field and enter the name of your matrix.

4. Click the Description (optional) field and enter a description of the matrix.

5. Click Next.

6. Select the resource pool where you want to add your matrix.

8. Select the assets where you want to add your matrix.

10. Start adding positions by clicking on the Add position.

11. Click the Name field and enter the name of the position.

12. Click the Code (optional) field, if there's any code that you want to add or specify for identification purposes.

13. Click the Description (optional) field and enter the description of the position that you want to add or specify.

14. Click Save.

15. Add a certification requirement to the position. Requirements can be added as an individual certificate or as a requirement group.

Click Add Requirement.

16. To add an individual certificate to your matrix - click the Certification field and enter the name of the certificate.

17. Click Next.

18. Optionally, click the Validity Period field and enter the number of months or days the certificate will remain valid.

19. Click Save.

20. You can add a requirement group if a position requires multiple certifications or allows different options to fulfil a requirement.

Click Add Requirement.

21. Click Custom Requirement.

22. Click the Name field and enter the name of the requirement group.

23. Click the Type field and select the condition you want to apply.

All of the certifications must be valid: Personnel must provide all the listed certificates.

Any of the certifications can be valid: Personnel can provide any of the certificates.

24. From here you can add multiple individual certificates, just as you did in step 16. Or you can add an existing certificate group.

25. To add an existing certificate group, click Add custom requirement.

26. Click the Search Requirements field and enter the name of the certificate group.

27. Click Next.

28. Click Save.

29. From the table, set each Requirement as Mandatory, Desired, or Not Required.

If the requirement level is the same for both Recruitment and Compliance, toggle on both buttons. Otherwise, select them one at a time to set the requirement level.

30. Click the arrow next to the requirement.

31. Select Mandatory when the certificate is required for a worker to be compliant for the assigned position.

32. Click the arrow.

33. Select Desired when the certificate is optional, but is not required for a worker to be compliant.

34. If at any point a certificate is no longer required, click the arrow next to the certificate name.

35. Click Not required to remove it from the list of requirements for that position that your personnel need to provide.

36. Your matrix is now ready to use.
