Qualification Acceptance and Rejection

An important step in setting up your Skills Passport is uploading your credential documents, also referred to as qualifications, certifications, or certificates

The verification team at MyPass will review your credentials, and either accept or reject them. To get as many credentials as possible accepted  and avoid rejections, here are some guidelines: 

  1. Be sure the document includes all required information:
    • Your name
    • Name of training provider or document issuer
    • Course name
    • Certificate or Document reference number
    • Date of birth (if applicable)
    • Course code (if applicable)
    • Issue date & Expiry date (if applicable)
  2. Be sure the document is correct and usable:
    • The name and date of birth on the document match the MyPass profile.
    • The document details are legible and all required fields are filled out.
    • Documents are uploaded as a PDF or image format (png or jpg), no larger than 4MB.

Some reasons a certificate may be rejected:

  1. Unreadable or unusable information
    • The information on the uploaded document is blurry or unclear
    • Lacking information or some details are not visible
    • Corrupted file or no preview available on the information
    • Document was uploaded incorrectly, or not a valid file format
  2. Invalid document or information
    • The document uploaded is not an actual certificate
    • The license is inactive, suspended, or replaced
    • Interim documents that have expired
    • The information in the document doesn’t match the information in the MyPass profile (e.g. names, date of birth, or typos)
    • The document couldn’t be validated using online validation tools
    • The document is a duplicate of a previously verified certificate

    Note: VOC/Refresher training document is acceptable as long, as a previously completed Statement of Attainment (SOA) is also provided
  3. Other reasons a document can be flagged for rejection:
    • The awarding organisation name is incorrect. (Training providers should be registered, or listed under training.gov.au.)
    • The qualification code, description, or course name is incorrect
    • It contains many spelling errors or poor grammar
    • Logos are outdated or poor image quality
    • Worker information can’t be validated using our tool

When a document is flagged as above, our verification team reaches out to the issuing institution to verify the worker’s information and qualifications. If the document can’t be validated from their end, the certificate will be rejected.
