Overview of the Personnel Profile

Open a personnel profile by clicking on their name anywhere in your Personnel Resource Pools, Projects, and Personnel Invitations. The Personnel profile consists of multiple sections. Stay on top of your Personnel management by accessing the Personnel profile and ensuring the information is up-to-date.

1. The first step is to open MyPass and click Personnel.

2. Click the dropdown of Resource Pools.

3. Click a specific Resource Pool or select All My Personnel.

All My Personnel gives you visibility of all your Personnel across all Resource Pools.

4. Click the Personnel name, Adriane Jones, to view their sidebar profile and details.

5. This is the Pesonnel Profile sidebar.

This Personnel profile sidebar can also be accessed by clicking a Personnel's name in Overview Dashboard, Projects, or Invite Personnel page.

6. This is the Basic Info section.

The Personnel's basic info consists of profile picture, classification, unique MyPass ID, and QR code.

7. This is the Personal Info section. Click anywhere in the box to expand.

8. The Personal Info section consists of the Personnel's email address, mobile number, address, gender, date of birth, resume, USI, indigenous status, and language spoken.

9. This is the Tags section. Click it to expand or collapse.

Tags are labels or other information attached to the Personnel.

10. Click the relevant tags to add to the Personnel's profile.

These tags list are pre-added in Settings - Tags.

11. This is Resource Pool name and Compliance Position section of the selected Personnel.

This section contains one or more compliance positions assigned to the selected Personnel and the compliance percentage.

12. Click the to show the compliance requirements and status.

13. This is the Compliance Requirements and Status.

This section contains the list of Mandatory and Desired requirements, the custom validity period if applicable, and the status as indicated by the icons.

14. The red tick icon means that the requirement has been uploaded to the personnel profile and verified by the MyPass team, however, the ticket has already expired.

15. The red x mark means the personnel has not uploaded the requirement or has uploaded it but is not yet verified by the MyPass team.

16. The green tick icon means that the requirement has been uploaded to the personnel profile which the MyPass team has independently verified and is current.

17. The yellow tick icon means that the certificate has been uploaded to the personnel profile and verified by the MyPass team, however, the ticket will be expiring soon.

18. Click the fraction, (0/8), beside the requirement to show its group.

19. Group requirement means that the Personnel has to have any or all of the requirements to be compliant.

20. Scroll down to view the other sidebard profile sections.

21. This is the Roles section.

This section contains the project roles assigned to the selected Personnel, requirement percentage, and status.

22. Hover to the name of the role and status, Labourer [Proposed], to display the tooltip.

23. This is the Project Roles Tooltip.

The tooltip contains the information pertaining to the Project such as start date, end date if available, asset, project name, role, and status of the Personnel.

24. Click the to show the project role requirements and status.

25. This is the Project Role Requirements and Status.

This section contains the list of Mandatory and Desired requirements, the custom validity period if applicable, and the status as indicated by the icons similar to steps 14-17.

26. This is the Certificates section.

This section contains a list of all the certificates currently attached to the profile of the selected Personnel, Adriane Jones.

27. These are Certificate status icons.

Certificate status are indicated by the icons: verified by MyPass, verified by MyPass expiring on a given date, verified by MyPass expired on a given date, pending upload, pending verification, and Rejected.

28. The red triangle icon means Expired and that the certificate is verified by MyPass, however, the certificate is past the given expiry date.

29. The red triangle icon can also mean the certificate has been rejected by the MyPass team. The rejection reason is given when the certificate is opened. An email is also sent to the uploader.

30. The yellow triangle icon means Pending Verification and the MyPass team has not yet approved the certificate.

31. The upload icon means Pending Upload and there is no document or file attached to the certificate.

32. The green check icon means Verified and approved by the MyPass team.

33. These arrows allow you to view the corresponding certificate documents.

The view certificate permission is given with your access.  If you can't see the arrows, it means that you don't have the correct permission. Contact your main administrator.

34. Click the + button to add a Certificate to the Personnel's profile.

35. Click the download icon to download a zip file copy of all the Personnel's certificates.

36. This is the Notes section.

This section contains the notes added to the Personnel's profile by the indicated portal administrators.

37. Click the + button to add a new note.

38. This is the Calendar section.

This section contains the availability, unavailability, and existing project engagement of the Personnel.

39. Click the date to open or add a new event in behalf of the Personnel.

40. This is the Personnel Event Details which shows the specific event, start and end dates, availability, and additional info. Click Save or X to close.

41. Click the month arrow to jump to the next month or go back to the previous month.

42. This is the Employment History section.

This section contains the Personnel's previous or current roles, employer, location, and description.

43. Click the arrow to open the employment history.

44. This is the selected Employment History details. Click X to close or Save, if changes were made.

45. Click + button to add an employment history in behalf of the Personnel.

46. This is the Emergency Contacts section.

This section contains the selected Personnel's emergency contact person, relationship, and contact details.

47. Click the arrow to view the emergency contact's full details.

48. This is the Emergency Contact's full details. Click to close or Save, if changes were made.

49. Click + button to add an emergency contact in behalf of the Personnel.

50. This is the Recent Activity section which shows the last access or login date and time of the Personnel. The timezone shown is similar to your device.

51. This is the more actions section.

This section consists of options to message, download the selected Personnel's profile to PDF, view the Personnel's QR code, and assign the Personnel to a Resource Pool.

52. Click Message to open the chatbox and leave a message to the Personnel.

53. Enter message, attach a file, or emoji to send to the Personnel. Click enter in your keyboard or the send icon to send.

54. Click PDF to download a copy of the Personnel profile in a PDF format.

55. Click QR Code to open the Personnel profile QR code which can be saved and scanned on site.

56. Click or close button to close the QR code.

57. Click Assign To Pools to assign the Personnel to other Resource Pools.

58. Tick the box of the Resource Pool to assign the Personnel and click Save.
